Adachi Financial Services (AFS) is a full-service tax preparation firm based in Edison, New Jersey, serving individuals and small businesses across the United States. Founded in 2004 by Daniel Aniegbuna, an experienced tax professional, the company currently serves 200 individual and business tax clients. Daniel also provides business advisory, payroll, and business start-up services, helping clients create tax-efficient entities.
Daniel’s key professional niches include medical and dental practices; property investment, development, and management firms; as well as financial brokers. An integrated tech stack for scaling Daniel’s firm started with SmartVault
At the core of the AFS workflow tech stack is SmartVault. Daniel uses TaxWise for tax preparation and the DocuSign integration with SmartVault. He uses ScanSnap when he needs to scan documents directly into SmartVault. In the near future, he is planning to add Quotient and Karbon to his SmartVault tech stack—an idea he received from SmartVault’s “Power Up Your Practice” webinar.
Daniel originally chose SmartVault as his go-to solution for document management in 2016 when he migrated his firm’s workflow to the cloud.
“Several years ago, I researched many different platforms. SmartVault was the best solution that I evaluated—and I still feel that way today,” explained Daniel. “SmartVault allows me to receive, organize and share tax documents seamlessly in the cloud. There’s no email or postal mail involved which is not only convenient for our firm and our clients, but it also meets the security requirements of the IRS since it is bank-level data encryption. In addition, when clients upload documents, our firm receives email notifications so we can log in and retrieve documents without missing a beat.”
SmartVault’s strength helps AFS provide a higher level of client service
Another key strength which SmartVault helps Daniel’s firm achieve is elevated client service. “All of our clients are onboarded using SmartVault. We set them up as SmartVault users with a portal where they can access all of their documents. Once a client’s tax return is done, we upload the copy for their e-signature. They value knowing that they can access their documents securely and easily from anywhere they have an internet or mobile connection,” said Daniel. “Plus, their tax return is readily available if they need it later for a loan application or to refer to it for specific information.”
AFS specializes in preparing and filing a wide variety of business and personal tax returns, including 1040, 1041, 1065, 1120, 1120S, 940, 941, 990, 990T, 706, 709. As such, having an efficient and secure system for managing this workflow is key to being able to serve this type of diverse client base. He uses the DocuSign integration with SmartVault to get tax returns and engagement letters signed remotely and securely by his clients.
Currently, Daniel’s practice includes himself and one administrative assistant who also uses SmartVault to work with the firm’s clients. “Everything we do, we do remotely. This was the case even before the pandemic. So we’ve been able to operate our firm without skipping a beat. All of our clients were already being served in the cloud and it’s just the way that we do business,” Daniel explained. He recommends SmartVault to other firms who are looking for a centralized solution for managing documents as well as being able to offer clients the elevated security and service level which can help set a firm apart in the market.
